Overview

This position requires the full understanding and active participation in fulfilling the Mission of San Gabriel Valley Medical Center. It is expected that the employee will demonstrate behavior consistent with the Core Values. The employee shall support San Gabriel Valley Medical Center’s strategic plan and the goals and direction of the Performance Improvement Plan (PIP).

 

Reporting to and under the supervision of the Director of Facilities, the Facilities Coordinator is responsible for processing work orders, maintaining capital expenditure requests and purchase orders in accordance with SGVMC policies.

Responsibilities

Demonstrates knowledge of hospital operations and policies and procedures.  Fully aware of hospitals confidentiality policy and fully complies with it.  Knowledgeable with proper office procedures.  Demonstrates fully functional filling systems for different projects, compliance, capital expenditures, and purchase orders.  Assists Director of Facilities with handling purchase requisition and documentation. Ensure efficient coordination of the department operations. Independently recognizes and performs duties which need to be done without being directly assigned.  Establishes priorities; organizes work and time to meet them.  Recognizes and responds to priorities, accepts changes and new ideas. Uses time effectively and constructively.  Adheres to attendance and punctuality requirements per Hospital policy.  Work shifts as assigned.  Observes all Hospitals and departmental policies governing conduct while at work.  Participates actively and positively affects the outcomes of customer service activities.  Facilitates and enhances communications.  Utilizes verbal and written communications methods, which enable others to clearly understand what is being said.  Establishes good rapport and working relationships with coworkers, and other Hospital staff.  Observes SGVMC dress code policy and wears Hospital identification as required by our policy and procedures.

 

  1. Work from written requisitions, email assignments or verbal instructions.
  2. Process purchase requisitions, purchase orders, prepares invoices and maintains documentation.
  3. Order supplies and items needed for the department as assigned.
  4. Answers telephone calls for the department to ensure work is assigned accordingly.
  5. Process and audits work order, preventive maintenance schedule and maintains documentation.
  6. Process and maintain capital expenditure requests (CER) and contract approval form (CAF) submittal and documentation for the hospital.
  7. Assist Director of Facilities with on-going TJC/CMS compliance of the department and survey readiness.
  8. Maintain work area and equipment in a safe, clean and orderly condition.
  9. Follow standard and prescribed safety regulations.
  10. Participate in all scheduled department meetings.
  11. Performs all other related duties as assigned or requested.

Qualifications

  • High school graduate or equivalent.
  • Microsoft Word and Excel
  • Previous facilities experience (preferred)
  • Bilingual (English/Spanish) preferred.
