Overview

JOB SUMMARY: We are seeking a motivated and detail-oriented Human Resources Coordinator to join our team. Under the direct supervision of the Director of Human Resources, the HR Coordinator performs key administrative and operational responsibilities within the framework of established hospital procedures, policies and standards. The ideal candidate will possess strong communication skills, handle confidential matters with discretion, and deliver exceptional service to employees, applicants, and hospital leadership.

 

Responsibilities

Administrative Operations & Records

  • Maintains physical and electronic personnel files accurately and in chronological order.
  • Performs accurate data entry and updates within the HRIS system.
  • Processes employee terminations in a timely manner, closes physical files, and logs details in the Termination Report.
  • Submits documents to Payroll and Accounting on time while maintaining accurate supporting documentation.
  • Manages departmental mail distribution twice daily, ensuring all incoming mail is date-stamped.
  • Maintains HR logs, keeps HR bulletin boards updated and orderly, and manages office supply inventory to maintain required par levels.
  • Monitors all employee licenses and certifications to ensure they remain current.
  • Monitors employee performance evaluations to ensure timely completion.

Onboarding

  • Facilitates onboarding processes for employees.
  • Prepares New Hire Orientation packets for upcoming General New Employee Orientation dates.
  • Creates employee ID badges and promptly routes relevant employee information to Payroll and Information Systems (IS) via email.

Employee Support

  • Serves as a knowledgeable resource for internal hospital policies, procedures, wage, salary, and benefit information.
  • Interprets policies, troubleshoots inquiries, and exercises sound judgment to resolve issues.
  • Partners with the HR Director to promote programs that enhance employee morale, including preparing monthly birthday cards for staff.
  • Answers phone calls professionally and promptly in compliance with hospital standards, taking detailed messages and immediately relaying urgent matters.
  • Assists in the administration of LOAs, Worker’s Compensation, 401(k) plans, and recruitment processes.

Compliance, Safety & Quality Improvement

  • Upholds strict confidentiality standards across all HR duties and interactions.
  • Complies with departmental policies, Codes of Ethics, HIPAA regulations, corporate integrity guidelines, and patient rights.
  • Actively participates in Continuous Quality Improvement (CQI) initiatives and recommends process improvements to streamline workflow.
  • Adheres to hospital safety programs, Environment of Care plans, emergency response procedures, and infection control standards.

Qualifications

  • Education & Experience: Bachelor’s degree required, OR six (6) years of directly related human resources/administrative experience.
  • Language Skills: Excellent oral and written communication with the ability to compose professional correspondence.
  • Core Competencies: Demonstrated ability to manage priorities independently, handle difficult situations with tact, and maintain a high level of confidentiality.
