Overview

Under the supervision of the Director of Education, the Confidential Assistant- Education performs work of moderate difficulty in the Education Department with a wide variety of duties.  Common tasks include answering employee and applicant questions, receiving and transferring phone calls, receiving and distributing mail, creating and distributing documents, filing both paper and electronic, setting appointments, arranging meetings, maintaining calendars, copying files, and entering data into computer systems, creating/tracking employee compliance with required education programs.

Additionally, the Confidential Assistant - Education is expected to assist in the coordination of academic affiliations, facilitate and maintain background check paperwork for instructors and students, compile spreadsheets, prepare presentations, and participate on various hospital wide committees.

The Confidential Assistant - Education is expected to have excellent organization and time management skills, strong customer service/interpersonal skills, and the ability to develop innovative systems for maximizing efficiency.

This position requires high standards of confidentiality of all employee records and information.

Qualifications

  1. Two years of college/university or a combination of education, training and experience that demonstrates the ability to perform the duties of the position. 
  2. Two years of office experience in clinical education in an acute care facility preferred.
  3. Knowledge of principles and practices of organization, planning, records management and general office administration.
  4. Must be able to type a minimum of 40 wpm.
  5. Must have proficient computer skills to include Microsoft Office applications.
  6. Ability to effectively and professionally communicate information within diverse populations.
  7. Ability to plan, prioritize and organize workload independently, meet deadlines and complete tasks despite interruptions.
  8. Demonstrates careful attention to detail.
  9. Must be able to multi-task in a fast-paced environment and process a variety of variables simultaneously.
