JOB SUMMARY:
The Geriatric Behavioral Health Intake Coordinator will serve as the primary person to provide intake screening and determine the eligibility and benefits of referrals. All referrals and inquiries will be attended and responded in a timely and professional manner. The Intake Coordinator will also provide clerical services, maintains the clinical records, assist the unit manager, and ensure an effective flow of communication to the unit. |
POSITION SPECIFIC DUTIES (other duties may be assigned)
1 Adheres to all hospital and department policies and procedures and the unit safety protocols.
2 Ensure appropriate intake referrals are collaborated accordingly and responded promptly.
3 Maintain courteous and professional interactions with patients, families, and guest at all times. Greets each patient, families and visitors with a smile and acknowledges them in timely manner.
4 Assist staff in communication with the Physicians and patients.
5 Assist patients/families/caregivers with their needs and help problem solve in your capacity.
6 Determine eligibility and benefits from insurance companies on referrals coming directly for intake.
7 Confirm financial responsibilities with patients. Register admission in the system and coordinate with business office. Maintains all insurance records and updates related to patients.
8 Provides clerical support to the nursing team, patients and their families.
9 Coordinate with finance and billing departments all admissions and discharges.
10 Communicate admission to staff and other members of the team by providing basic and pertinent information.
11 Comply with the hospital policies on maintaining safety and reporting incidents promptly.
12 Use effective time management and organizational skills.
13 Processes paperwork for new patients and in accordance with protocols.
14 Ensures that all admission forms are completed timely. Audits charts daily.
15 Promptly answers telephone calls and screens inquiry calls and emails.
16 Collects data to help with the admission process.
17 Communicate professionally and respectfully with all members of the hospital while working to support a team oriented work environment.
18 Maintains customer confidence and protects operations by keeping information confidential and adhering to the standards of the Health Insurance and Portability Act (HIPAA).
19 Perform record keeping, medical record maintenance, report writing, data collection, audits and other reports as directed by the Nurse Director.
20 Maintains a positive and respectful work environment.
21 Abide and follow the guidelines in the code of conduct, shares accountability and responsibility for conducting themselves in a manner consistent with the hospital mission, vision and values.
22 Make charts, discharge packets.
23 Maintain a downtime packet for use in emergency when computer system is down.
24 Order supplies on a regular basis, report work requests for broken equipment
25 Arranges consults, appointments and transportation as needed.
26 Organizes chart at discharge and checks chart for completion before delivery to medical records.
27 Performs administrative duties assigned by the unit manager.
28 Anticipates staffing needs of the unit and helps with finding replacement. Communicates with the unit manager and staffing office for any staffing changes.
29 Assist the unit manager with the day- to day staffing schedule.
30 Performs other duties as assigned.
QUALIFICATIONS/JOB REQUIREMENTS:
EDUCATION:
Degree in Behavioral Science, License Psychiatric Technician, Nursing or related field.
EXPERIENCE:
Prior experience in working with a Behavioral Health Organization on intake screening, admission process and registration is preferred.
Knowledge in insurance eligibility and benefits.
CERTIFICATIONS/LICENSURE:
CPI certification or other Assaultive Behavior Management program certification or within 3 months of hire
Must have current BLS certification
OTHER SKILLS, ABILITIES & KNOWLEDGE:
Excellent reading, verbal & written communication skills are necessary. Must have outstanding guest relations skills.
Possess knowledge of psychiatric and medical terminologies.
Knowledge of intake process, skills and methods of relating to referral sources, patients and families.
Proficiencies with computer programs, which may include Microsoft Word, Excel, Power Point, Outlook and others.
Demonstrate the ability to use standard office equipment such as telephone, fax, efax, copiers, EHR documentation and other computer programs
Organized and possesses the ability to adjust to the constantly changing workloads.
