Overview

The Admitting Supervisor will assist with the daily activities of Patient Admitting Representatives, Leads, Verifiers, and Quality Control to assure smooth operation of each shift.  This position participates provides services necessary to full fill the departmental workload; also, maintains effective working relations with co-workers, nurse, physicians and other hospital staff members.   The Supervisor is responsible for assisting with assessing skills and performance of each staff member on a regular basis and providing appropriate resources and training for staff development.  Additional responsibilities include policy and procedures, securing of patient accounts, quality assurance, staffing and employee written and verbal communication, departmental competency testing and orientation of new employees.

Responsibilities

Service

  • Maintains proficiency in all aspects of registration.
  • To efficiently assist with the assessing of the departmental staffing requirements and maintain a smooth registration process.
  • Coordinates the daily activities of the admitting department, analyzes the existing work processes and computer systems and creates/implements changes to assignments, methods or procedures.
  • To ensure that patients are registered timely and accurately.
  • To assist with the maintaining of departmental staffing.
  • To ensure proper departmental coverage.
  • Handles minor patient/physician complaints and issues in a timely manner.
  • To promote great customer service.

Quality

  • Policies/Procedures - Is aware of and follows all hospital and departmental policies and procedures.
  • Offers suggestions for department and/or hospital-wide performance process improvement. Intervenes to correct problems (patient & system) as they occur. Notifies manager/director of actions and outcome. Participates in the performance/process improvement process as a condition of employment.
  • Completes required logs and quality controls as per hospital/department requirements.
  • Appearance - Projects a professional image, follows the hospital dress code policy and/or department requirements. Wears hospital ID badge at all times on duty.
  • Work habits - Readily accepts work assignments in a positive manner. Performs work that is accurate, neat and consistent. Documentation is legible.
  • Safety - Keeps work area neat and maintains equipment in accordance with health and safety codes. Uses Standard Precautions in all patient contacts. Provides a safe environment for patient/family & visitors, and reports safety issues and equipment failures appropriately.
  • Confidentiality - Sensitive information including, but not limited to, patient records, charts, hospital documents and employee information is kept confidential without exception.
  • Ensures that the rights of all patients are respected and maintained by allowing for privacy, cultural diversity and dignity in the provision of care.
  • Demonstrates organizational skills in the form of prioritization and time management.
  • Attendance - Employee reports to work each regularly scheduled workday.
  • Punctuality - Clocks in by the scheduled start time of the shift and is ready for work. Continues working until scheduled departure time. Leaves as scheduled without incidental overtime. Clocks out and in for meal periods.

Oversees Patient and Registration and Data Processing Areas

  • Assists management with the overall departmental functions on a day to day basis.

Responsible for Hospital Telecommunications

  • Directs all functions, analyses effectiveness, institutes upgrading and efficiently.
  • Monitors charges.

Responsible for Appropriateness of Patient Admissions

  • In conjunction with physicians, makes determination on appropriateness of patient admission.
  • Justifies admits with regards to a patient acuity.
  • Makes determination on special financial arrangements when required.
  • Control patient bad placements in conjunction with house supervisor.

Responsible for Departmental Public

  • Satisfies positive departmental public image.
  • Institutes correct measure when necessary.

Conducts Staff Meetings

  • Assists and/or conducts monthly staff meetings with registration personnel in all areas of admitting.

Coordinates with Utilization Review

  • Actively participates in Utilization review activities on a daily basis.

Attends Administrative and Medical Staff Meetings Planning

  • Based on committee's requirements, attends and contributes admission criteria and protocol.
  • Assists with the operational plans, resource allocation, and policies of the department consistent with the organization's mission and departmental function.
  • Collaborates with others, as appropriate, when planning services in response to and identified community need.
  • Communicates the organizations and departmental plans throughout the department.

Directing Services

  • Organizes, Directs, and staffs department in a manner that is commensurate with the scope of services offered.
  • Communicates and recommends to Director/Manager on personnel issues. Assist with decisions on personnel functions: institutes corrective action when necessary.
  • Facilitates innovation and motivates staff to implement effectively the department's strategy, operational program and other plans.
  • Assist with the Performance Reviews.
  • Provides individuals new to the department with an orientation of sufficient scope and duration to inform the individual about his/her responsibilities and how to fulfill them.

Implementing and Coordinating Services

  • Specific to department. Performs staff duties during periods of high work load periods. Completes annual goals and objectives as set.

Fiscal Responsibility

  • Assist with the review of payroll hours for accuracy.

Improving Services (Quality Improvement)

  • Assist with priorities and assist with managing processes to measure and implement improvements and maintain achievements within the department. Assist with the required reports.

Qualifications

  • Minimum Education:  High School Diploma

  • Minimum Experience: 2-3 years experience in hospital setting preferred.
  • Required Certification/Registration: Current BCLS certificate required.
