Overview

The Medical Staff Coordinator position has responsibility for coordinating and attending Medical Staff meetings, assisting in completion of Governing Board follow-up, completion of the monthly ER oncall schedule, maintaining current proctoring documentation, and coordinating the Continuing Medical Education Program. It is expected that this individual demonstrates behavior consistent with the core values of AHMC; shall have the willingness and ability to perform additional duties and responsibilities in different areas of the department on an as-needed basis; demonstrates the philosophy of team concept; maintains confidentiality as related to job responsibilities; exhibits willingness to resolve problems as they arise; consistently projects positive professional image through appearance and behavior.  

Responsibilities

A) Demonstrates working knowledge of office systems and workflow.

 

  1. Demonstrates competence in operation of office.
  2. Oversees distribution of emergency call schedule monthly.
  3. Ensures adequate level of supplies are maintained.
  4. Maintains accurate attendance records for all committees, department/CME meetings.
  5. Oversees preparation and distribution of monthly medical staff calendar.
  6. Attends medical staff meetings as required by director.

 

 

B) Maintains current proctoring documentation, extension or advancement from provisional appointment and changes in staff category.

   

  1. Assures medical staff members are assigned proctors. Uses follow up system  to monitor proctoring.
  2. Prepares proctoring completion form and contacts chairman to review.
  3. Monitors provisional period and proctoring for advancement when complete.

 

C) Coordinates the continuing medical education program under the supervision of the CME chairperson and the medical staff coordinator.

 

  1. Schedules speakers recommended by the CME committee.
  2. Maintains CME budget information.
  3. Prepares notices, calendars and keep category I attendance records and forwards reports to individual medical staff members on a yearly basis.
  4. Summarizes evaluation forms for review by CME committee.
  5. Participates in the CMA accreditation of CME programs, is familiar with continuing education requirements and is committed to ensuring that the program meets CMA requirements.

 

D) Assist medical staff director in Bylaw and Rules/Regulations revisions.

     

  1. Prepares and discusses agenda with chairman prior to the meeting.
  2. Prepares accurate minutes.
  3. Prepares follow-up correspondence and actions within 10 working days of the meeting. Channels actions from one committee to another.

 

E) Professional Conduct

 

  1. Employee has the willingness and ability to perform additional duties and responsibilities in different areas of the department on an as-needed basis or as determined by management.
  2. Follows established hospital and department policies.
  3. No more than 2 written substantiated complaints representing a breach of policy, procedure or professional behavior since last evaluation.
  4. Demonstrates the philosophy of team concept.
  5. Participates in group projects and staff meetings with suggestions that enhance the work environment and increase productivity.
  6. Communicates well with supervisor reporting problems with equipment, supplies, or procedures. Requests assistance as appropriate.
  7. Maintains confidentiality as related to job responsibilities.
  8. Exhibits willingness to resolve problems as they arise.
  9. Consistently projects positive professional image through appearance and behavior.
  10. Attends 75% of staff meetings or reads and initials minutes.
  11. Completes assigned work within shift.

 

F) Guest / Interdepartmental Relations

 

  1. As observed by representatives of management, all interactions are conducted in a professional manner.
  2. Verbal and written feedback from patients, family members / significant others, medical staff, visitors and co-workers indicates behavior conductive to positive guest relations.
  3. Consistently exhibits appropriate phone protocol (E.G., answer phones promptly, is courteous and helpful).
  4. Consistently contributes to the team effort (E.G., assists co-workers when need is observed or upon request, offers constructive suggestions rather than complaints).
  5. Consistently displays cheerful and positive attitude.

 

G) Professional growth and development

 

  1. Completes annual safety updates within established time frames.
  2. Completes general and departmental orientation within established time frames.
  3. Attends 80% of in-service programs.
  4. Maintains licensure / certification as appropriate.

 

H) Performance improvement

  • Consistently strives to understand, anticipate and meet the needs, expectations and satisfaction levels of patiens and other “customers”. Errors, inefficiencies and inaccuracies are brought to management’s attention with suggestions for improvement. Develops innovative solutions to departmental problems. Identifies and implements methods of controlling costs or generating revenue while providing maximum value to both the patient / customer and the hospital. Maximizes efficiency in all departmental operations. Measures progress against quality goals.

 

Qualifications

  • Minimum Education: High school diploma or equivalent
  • Minimum Experience: 1 yr medical staff office
  • Required Certification/Registration: N/A
